This policy explains how LK Kudu Safaris (“we”, “us”) collects and uses personal data when you visit lkkudusafaris.com, send us an enquiry, contact us on WhatsApp or by email, or travel with us. We take your privacy seriously and only collect what we need to plan and run your safari.
1. Who we are
LK Kudu Safaris is a safari operator based in Nairobi, Kenya, and is the controller of your personal data. [Registered company name and registration number to be added.]
Contact for any privacy question: inquiries@lkkudusafaris.com · WhatsApp +254 705 744343.
We comply with Kenya’s Data Protection Act, 2019 and, for visitors and travellers in the European Union and United Kingdom, the General Data Protection Regulation (GDPR and UK GDPR).
2. What data we collect
- Enquiry details: your name, email address, phone or WhatsApp number, travel dates, number of travellers, preferred safari style and anything you write in your message.
- Booking details: full names, nationality, date of birth and passport details of each traveller (required for park permits, lodge bookings and flights), arrival and departure information, and emergency contacts.
- Special requirements: dietary needs, medical conditions or mobility needs you choose to share so we can keep you safe and comfortable. This is sensitive data and we only use it with your explicit consent.
- Payment information: records of payments you make. Card payments are processed by banks and payment providers; we do not store full card numbers.
- Communications: emails and WhatsApp messages you exchange with us.
- Website data: technical data such as IP address and browser type, used to keep the site secure. Analytics data is only collected if you accept analytics cookies (see section 9).
3. Why we use your data, and our legal basis
- To answer your enquiry and prepare a proposal: steps you ask us to take before entering a contract.
- To book and run your safari (lodges, park permits, transfers, partner services): performance of our contract with you.
- To handle special requirements such as health or dietary information: your explicit consent, which you can withdraw at any time.
- To keep accounting and tax records: our legal obligations.
- To keep the website secure and improve our service: our legitimate interests.
- To send you news or offers: only with your consent. You can unsubscribe at any time.
4. Who we share your data with
We only share what is needed, with:
- Lodges, camps and hotels where you stay
- Park and reserve authorities (Kenya Wildlife Service, county governments) for entry permits, including through Kenya’s official eCitizen platform
- Partner operators when your trip includes other countries or extra vehicles
- Airlines and transfer companies when you ask us to book them
- Our service providers: Hostinger (website hosting and email), and, only if you accept analytics cookies, Google Analytics and Microsoft Clarity
- WhatsApp (Meta) when you choose to contact us that way
- Authorities when the law requires it
We never sell your personal data.
5. International transfers
We are based in Kenya and our partners and service providers may be located in Kenya, the EU, the UK, the United States or other countries. When your data leaves the EU, UK or Kenya, we use appropriate safeguards, such as standard contractual clauses, or rely on transfers that are necessary to deliver the travel services you booked.
6. How long we keep your data
- Enquiries that do not become a booking: up to 24 months, then deleted
- Booking and payment records: as long as accounting and tax law requires (usually up to 7 years)
- Health and special requirement information: deleted after your trip, unless needed for a claim
- Marketing contacts: until you unsubscribe
7. Your rights
You can ask us to access, correct or delete your data, to restrict or object to how we use it, to send it to you or another company (portability), and to withdraw consent at any time. Email inquiries@lkkudusafaris.com and we will reply within one month.
You also have the right to complain to a data protection authority: in Kenya, the Office of the Data Protection Commissioner (ODPC); in the EU, the authority in your country (for example, the AEPD in Spain); in the UK, the ICO.
8. Security
We use secure hosting with encrypted connections (HTTPS), limit access to the people who need it, and ask our partners to protect your data appropriately.
9. Cookies
Cookies are small files stored on your device. We use:
- Necessary cookies: needed for the website and enquiry form to work securely. These are always on.
- Analytics cookies (Google Analytics, Microsoft Clarity): help us understand how visitors use the site. These are only set if you accept them in our cookie banner, and you can change your choice at any time.
You can also block or delete cookies in your browser settings.
10. Children
Our website is not aimed at children. When families travel with us, a parent or guardian provides children’s details for the booking.
11. Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
